ECCCSC Meeting Minutes for November 28, 2022
Elk City Community Center Steering Committee Meeting Minutes
Meeting called to order by Adam Geyer at 5:02pm. Members present were Adam Geyer, Heather Kestner, Lamar Johnson, Mike Edmonson, Sheena Geyer and Sue Phillips. Absent was Greg Coon.
Minutes from previous meeting were read, motion to accept by Heather, second by Sue.
It was brought up that Elk City has a unique identity and we should work toward incorporating that identity into the Community Center should one be built.
The draft survey questionnaire was gone over and will be revised with two additions: secured storage to amenities and annual fundraising to funding section. There was discussion on how we can reach outside of the community to individuals that may want to support a community center here in Elk City, may look at putting some information in the Idaho County Freepress.
Mailing options for the survey were discussed, there will probably be at least 600 surveys to send out. A bulk mailing option would be about $275 annually and not cost effective. Every Door Direct Mail has a minimum requirement of 200 and cost about .20 cents a piece, Sue to talk to postmaster in Grangeville to see if our mailing will fit the requirements or if there are other options. Otherwise stamp purchase will be needed and the cost of stamps will be going up after the new year. As for fundraising for the cost of a mailing, we would need our nonprofit status and a bank account to do this and it would put the timeline out too far as well as require additional funds for the filing. We would like to have the survey ready to mail out in mid to late January. In an effort to include as many non property owning residents as possible, we will look at using voter rolls for additional residents. Heather to acquire them from the courthouse.
On the agenda for next month will be how to fund initial costs.
Meeting adjourned at 5:57pm
